How to Register Under Shram Suvidha Portal: Unified Employer Registration Guide 2026

The Shram Suvidha Portal (shramsuvidha.gov.in) is the Government of India's unified online portal for employer compliance. It enables establishments to register under multiple labour laws — EPF, ESIC, and the Contract Labour Act — through a single application. For Kerala employers managing statutory registrations, the Shram Suvidha portal is the starting point for all central labour law compliance. What is the Shram Suvidha Portal?

Launched by the Ministry of Labour and Employment, the Shram Suvidha Portal is a single-window compliance platform that aims to simplify regulatory compliance for businesses. Key features include: unified registration for EPF, ESIC, and Contract Labour Act through a single form, online inspection system with random computerised allocation of inspectors, common annual return filing for multiple labour laws, transparent tracking of inspection reports and compliance status, and a compliance scorecard for each establishment. For Kerala businesses, the portal centralises all central labour law compliance, which can then be supplemented with state-level registrations (Shop Act, LWF, PT) through the LC Kerala portal.

Step-by-Step Registration Process

Step 1: Create an Account

Visit the Shram Suvidha Portal (shramsuvidha.gov.in). Click on "New User Registration." Enter your establishment's PAN, email ID, and mobile number. The system sends a One-Time Password (OTP) to your mobile and email for verification. After OTP verification, create a password and security questions. Your temporary user ID is generated and sent to your registered email.

Step 2: Log In and Complete the Profile

Log in with your user ID and password. Complete the establishment profile: legal name (exactly as per PAN and registration document), trade name (any), date of commencement of business, PAN of the establishment, registered office address with PIN code, nature of business activity (select NIC code from the portal's directory), ownership type (proprietorship, partnership, private limited, public limited, LLP, trust, society), and number of employees.

Step 3: Apply for EPF Registration

Within the portal, select "Apply for EPF Registration." The system prefills basic establishment details from the profile. Complete Form 5A: provide details of all partners/directors with PAN and Aadhaar, bank account details of the establishment (for EPF refunds), details of the Digital Signature Certificate (DSC) holder, list of all employees with their UAN (if existing) or personal details (for new UAN generation), and branch details if your establishment has multiple locations. Upload scanned copies of PAN card, certificate of incorporation or partnership deed, proof of registered office address (rent agreement + utility bill or property deed), and bank account proof (cancelled cheque). Digitally sign the application using your DSC and submit.

Step 4: Apply for ESIC Registration (Optional, Co-Applicable)

If your establishment is also covered under ESIC, you can apply for ESIC registration through the same portal. The ESIC section requires: details of employees with gross wages ≤ ₹21,000/month, nature of business activity, and factory/establishment details. The ESIC code number is issued separately by the ESIC regional office after verification.

Step 5: Track Application Status

Log in to the portal to track the status of your application. The EPFO or ESIC officer may request additional documents or clarification. Respond promptly to avoid delays. The PF code number is typically issued within 7-15 working days. The ESIC code number takes 15-30 working days.

  • DSC not recognised: Ensure your DSC is classified as a valid Class 2 or Class 3 certificate issued by a licensed Certifying Authority registered with the Controller of Certifying Authorities (CCA), India.
  • Aadhaar-PAN link not done: The system validates the director's or proprietor's Aadhaar against PAN. If they are not linked, the application is rejected.
  • Address proof mismatch: The address in the registration form must exactly match supporting documents. Even small discrepancies (spelling errors, missing locality name) cause delays.
