ESI Consultancy in Kerala

ESI compliance is unforgiving of small errors. A wage figure that should not have been included, an employee who should have been registered, or a contribution filed a month late all surface later as a demand. GHR reviews and files ESI data for employers across Kerala, and checks it before submission rather than after.

Scope

What an ESI consultant handles for an employer

The Employees' State Insurance scheme covers employees below a notified monthly wage ceiling, and it is funded by contributions from both employer and employee. The employer carries the obligation to register, to deduct and remit correctly, and to keep the records straight. An ESI consultant owns that obligation end to end.

Our ESI work is continuous rather than a one-time registration exercise. Registration is the easy part; staying accurate month after month is where employers get into difficulty.

  • Applicability assessment for your headcount and wage levels
  • Employer code registration and branch office coordination
  • Employee registration and IP number generation
  • Monthly contribution computation and filing
  • Wage-ceiling and eligibility review before filing
  • Joiners, exits and wage changes reflected correctly
  • e-Pehchan card and employee record support
  • Assistance during ESIC inspections and queries

Where it goes wrong

The ESI problems we most often find

The same handful of issues recur across employers, and almost all of them originate in the data rather than in intent.

  • Employees above the wage ceiling included, or eligible employees omitted
  • ESI wages computed on a base that does not match the payroll records
  • Joiners not registered in the correct contribution period
  • Exits continuing to appear in the contribution data
  • Wage revisions not reflected in the month they took effect
  • Two systems holding different employee populations, with no reconciliation between them

Independent verification

Checking the data before it is filed

Most ESI problems are visible before filing if anyone compares the source data side by side. Payroll says one ESI wage; the contribution file says another; last month said a third. That comparison is mechanical, and it is exactly what we do each month.

GHR runs an independent reconciliation over your payroll and ESI data, flags the employee-level differences, and shows you the records behind each one before anything is submitted. Where something looks inconsistent we describe it as an inconsistency requiring review — not as a proven violation, because that determination depends on facts we do not own.

Choosing a consultant

How to evaluate an ESI consultant in Kerala

If you are comparing providers, these are the questions worth asking. They separate firms that will catch a problem from firms that will simply file whatever they are given.

  • Will you review my data before filing, or only file what I send?
  • How will you show me which employees were flagged, and why?
  • Can you produce the source records behind a figure if ESIC asks?
  • Who handles the response if an inspection notice arrives?
  • What happens to my records if we stop working together?
  • Are you confirming current thresholds and rates, or working from memory?

ESIC coverage across Kerala

Kerala has ESIC branch and sub-regional offices serving different districts, and an establishment's jurisdiction follows its location. Where a business runs branches in more than one district, contributions and records have to be handled in the right place for each, and the employee populations reconciled across them.

We work with employers across the state from our Kottayam office and manage each establishment against its own jurisdiction. Because ESIC thresholds, wage ceilings and contribution rates are revised from time to time, we confirm what currently applies to you rather than quoting figures that may since have changed.

Frequently asked questions

What is the difference between ESI consultancy and ESIC registration?

Registration is a one-time setup: obtaining the employer code and generating IP numbers for employees. ESI consultancy is the ongoing work around it — assessing applicability, computing and filing monthly contributions, keeping the employee population accurate, and handling inspections and queries. Most of the value, and most of the risk, sits in the recurring work.

At what employee count does ESIC apply?

ESIC coverage generally applies to establishments with ten or more employees, subject to the notified wage ceiling for individual employees and to sector-specific rules. Applicability is confirmed per establishment, because it can differ between your locations.

How do you decide which employees are covered?

By testing each employee's wages against the currently notified monthly wage ceiling, and by checking whether their employment status and establishment are covered. Because the ceiling and treatment of certain allowances change over time, we confirm the position on current rules rather than on historical figures.

Can you review our ESI data without taking over the filing?

Yes. An independent review is a reasonable standalone engagement, and it is often the right starting point if you want to understand your exposure before changing how the work is done.

What happens if we have already under-paid or mis-filed?

The first step is establishing what actually happened and over what period, from the records. Only then can the correction be scoped and approached properly. We reconstruct the position and advise on the practical route; we will not tell you a correction is unnecessary when the records suggest otherwise.

Do you cover ESI as well as PF?

Yes. PF and ESI are usually handled together because they draw on the same payroll data, and inconsistencies in one frequently appear in the other.
