HR Consultancy in Kerala

GHR Consultancy helps employers across Kerala run the people side of their business properly — the statutory registrations, monthly contributions, registers and audits that sit underneath payroll. We work alongside your existing payroll software rather than replacing it.

What it covers

What an HR consultancy actually does for an employer

Most businesses in Kerala do not need a full-time HR department. They need someone who knows which registrations apply to them, files the monthly contributions correctly and on time, keeps the statutory registers in the form an inspector expects, and can answer the awkward question when a notice arrives.

That is the work GHR handles. It spans registration, recurring monthly and annual filings, record-keeping, and the advisory work that sits around them.

  • Establishment registrations and renewals
  • Monthly EPF and ESIC contribution preparation and filing
  • Professional Tax and Labour Welfare Fund contributions
  • Statutory registers, wage registers and service records
  • Employee onboarding and exit documentation
  • Payroll inputs, salary structuring and statutory deductions
  • Compliance audits and inspection readiness
  • Advisory support when a notice or query is received

The Kerala statutory stack

Which obligations apply to a Kerala establishment

Applicability depends on your headcount, wage levels, industry and whether you operate in one district or several. The main obligations Kerala employers encounter are the Employees' Provident Fund scheme, the Employees' State Insurance scheme, the Kerala Shops and Commercial Establishments Act, the Labour Welfare Fund, and Professional Tax.

Several of these are triggered by thresholds — EPF coverage generally begins at twenty or more employees, with voluntary coverage possible below that, and ESIC coverage generally begins at ten or more. Because thresholds, wage ceilings and contribution rates are revised from time to time, we confirm what currently applies to your establishment rather than relying on figures that may have changed.

When to engage

Situations where employers bring us in

Compliance problems are usually cheap to fix early and expensive to fix late. These are the points at which employers typically engage us.

  • You have just crossed a headcount threshold and a registration now applies
  • You are opening a second branch or a new establishment in another district
  • Your HR or accounts person has left and the records are unclear
  • You have received an inspection notice or a Show Cause letter
  • You are migrating payroll software and need the statutory settings verified
  • You are taking on contract staff and need the labour-law side handled
  • You suspect past under-deduction or under-payment and want it assessed

How we work

Our engagement process

We start by understanding your establishment rather than selling you a package. The first step is a review of what you already hold — registrations, recent filings, and how your payroll currently computes statutory deductions.

From there we set a monthly calendar, prepare and file the recurring contributions, maintain the registers, and flag anything that looks inconsistent before it becomes a notice. Where we find a discrepancy we tell you what it is and what it would take to correct it. We do not describe an inconsistency as a legal violation — that determination is not ours to make, and it depends on facts only you and the authority can settle.

Working with us across Kerala

Our office is in Kottayam and we work with establishments throughout the state, including Ernakulam, Kottayam, Kozhikode, Thrissur, Alappuzha, Kollam and Thiruvananthapuram. Where you operate more than one establishment, we manage the registrations and filings separately for each, because applicability and jurisdictional offices differ by location.

The firm was founded in 2017 by M N Anilkumar, who brings more than three decades of HR and statutory compliance experience. Our approach is deliberately conservative: we confirm applicability, we document what we file, and we keep the evidence so that a question raised months later can be answered from the record.

Frequently asked questions

Do we have to replace our payroll software?

No. We work alongside whatever you already use — Tally, Zoho, greytHR, Keka, SAP, a custom system or plain spreadsheets. Our role is to verify and file the statutory side correctly, not to move you onto different software.

At what headcount does EPF or ESIC apply?

EPF coverage generally applies from twenty or more employees, and ESIC generally from ten or more, though voluntary coverage and sector-specific rules create exceptions. Because thresholds and wage ceilings are revised periodically, we confirm the position for your specific establishment rather than quoting a figure that may be out of date.

We already have an accountant. Is an HR consultancy still useful?

Often yes, because the two roles differ. An accountant handles books, tax and statutory audit. HR compliance work is about employee-level records, contribution correctness, registers, and the labour-law obligations that sit alongside payroll. Many clients keep both.

Can you help if we have already received a notice?

Yes. We review the notice, reconstruct the relevant records, assess what the position actually is, and help you respond. Having organised records and a documented history significantly improves how these matters progress.

Do you serve establishments outside Kottayam?

Yes. We work with employers across Kerala. Filings and registrations are handled for each establishment in its own jurisdiction.

How long does onboarding take?

It depends on how complete your existing records are. A straightforward single-establishment client can be set up quickly; where records are incomplete, the initial review takes longer because we have to reconstruct the position before we can file accurately.
